Annual Meeting Minutes

Call to Order
- Julie called the meeting to order at 1:03 pm
Opening Comments:
- Julie & Dave talked about the need for new trustees and help. Asked those present if there were any additions to the agenda, none were presented.
Financial Status:
- Dave addressed and talked about our current 2023 budget and reviewed our past budget actuals. Our budget for 2023 is somewhat inflated to help plan for the unexpected. The HOA assessment remains $425.
Pool Status:
- The pool will not open until mid-June – please check our subdivision website for updates.
- Pool re-surfacing project – was completed prior to opening of 2022 season and covers installed to help prolong the new liner.
- Pool Operational Management
- We do not have an operational company this year. Dave & Julie are looking into the possibility of hiring our own certified lifeguards and also looking into our options for pool maintenance. During our meeting it was mentioned that we may need to obtain Certification for Pool Operator (CPO). Dave & Julie will check into this and verify needs for us to obtain our county pool permit with the County Health Department.
- Associate Pool Membership (non-resident)- present residents at the meeting voted to increase Associate Membership to $300/family.
- We will use lanyards or wristbands this year for pool use.
- Pool parking lot – redo parking lines or repave- this will be discussed next year.
- Pool Fence– height and esthetics- this will be discussed next year or if the need is presented sooner.
- Swim Team – there is interest but a manager or two is needed to get this back up and running. Please let the trustees know if you are able to help here.
Common Grounds:
- Common Ground Tree Issues– there are ongoing issues with fallen trees, residents are encouraged to contact Dave Pruett with common ground concerns.
- Turf Mowing & Tree Trimming Contacts
- Our subdivision uses Chesterfield Lawns & Landscapes for turf mowing.
- All seen common ground areas are mowed every week.
- Unseen common ground areas are mowed every other week.
- Tree Trimming is contracted through 2-3 companies – the trustees do get multiple bids.
- Tree Replanting
- City of Chesterfield offers street-side tree plantings for $150, with this program we are responsible for watering (2 ½” in height at planting).
- The Missouri Department of Conservation offers tree seedlings for a minimal cost. Discussion was made about the need for the removal of all the honeysuckle – it’s invasive and killing our trees. Volunteers are needed to help control the honeysuckle. It was suggested to have a list posted on our website listing the good trees to plant and the trees to avoid planting.
Other discussion topics:
- Homeowner fences and structures- trustee approval is needed for these.
- When submitting a request for a fence of any structure on your property the trustees request that you submit your request via email and include a rough drawing to how the fence or structure will be on your property, the dimensions and the materials used. All requests are to submitted and trustee approved prior to any work beginning.
- Welcome and social committee– the residents in attendance thought this would be a good idea- details yet to be determined. There were a few residents in attendance that are interested in creating a Social Committee and planning fun events for our community.
- Deer Hunting within Bridle Creek – Bow hunting has been used in our subdivision – Deer hunting is not allowed within our subdivision boundaries.
- Resident volunteers are still needed to paint pavilion, bathroom & equipment room, grounds cleanup and general assistance.
- Associate By-laws and Indentures need to be updated – this will be discussed next year.
- Residents were encouraged to join the Board of Trustees – HOA fees are waved for those serving on the Board.
